A Provider Referral Checklist for Personal Injury Law Firm Teams

A referral becomes useful when the patient knows whom to contact and the receiving office knows what it needs to review. A provider name alone leaves room for missed calls, wrong locations and assumptions about payment. Use a consistent checklist while keeping medical recommendations with qualified clinicians.

How can a PI firm find lien-based provider options?

Start with the patient's location, clinical referral and practical access needs. Identify candidate offices, then confirm the service, individual location, intake route and proposed payment terms directly. Record the source and date for each confirmation. A directory's acceptance label is evidence to review, not a substitute for the office accepting the actual request.

For example, an imaging request needs confirmation that the particular branch performs the ordered study; a network's general imaging description is not enough. A published intake address may also serve only selected locations. Keep those scope questions separate from the attorney's review of any lien or letter of protection. See what a PI provider means for the patient-facing explanation.

Define the request

Start with the patient's stated location and scheduling needs and any clinician-directed specialty or referral. Distinguish a search for an initial evaluation from a request to fulfill an existing referral. Do not select a test or treatment simply to support a claim. If the patient's condition changes, direct the concern to the treating team or emergency services as appropriate.

Assign one person to own the administrative next step. A paralegal may confirm missing paperwork, a case manager may coordinate callbacks, and an attorney may review a proposed financial document. The handoff should name the responsible role rather than asking several people to chase the same office.

Confirm the office and intake route

Use Injury Med Map's attorney resources and nearby accident-care search to identify candidate locations. Verify the individual branch, requested specialty, current appointment availability and whether the office will consider the case/payment arrangement. An organization-wide statement should not be stretched beyond its stated scope. A physical therapy location and a physician's office can serve different needs; confirm the clinician or service required for the particular referral.

Ask which contact handles new referrals and how the office wants information submitted. Confirm that the contact serves this location and type of request. Publicly listed contact details are a starting point, not proof that an inbox accepts sensitive records or that a referral has been delivered.

Separate consent, records and billing

Identify the appropriate authority and process for obtaining or sending records. Being listed as the law firm's administrative contact does not itself establish authority to receive a client's medical information. HHS describes authorized uses and disclosures in its Privacy Rule summary. Have the firm's privacy reviewer address the particular request and any additional state requirements.

For payment, ask whether the office needs insurance information, a proposed letter of protection or another agreement. Send unfamiliar terms to the responsible attorney. Do not tell a client the visit is free or that a case will cover every bill without a verified basis.

Close the loop

Record the time of the request, the office contacted, unresolved questions and the next follow-up date. Keep separate statuses for request submitted, office response received and appointment confirmed. A confirmation screen is not evidence of all three.

For related workflows, see organizing medical record requests and questions before lien-based treatment. SettlementLift's questions for choosing an attorney offer optional client-facing background on representation, communication and fees; the link does not create a provider relationship, endorse a vendor or send case information.

Before telling the client the referral is complete, confirm who will give the appointment instructions. A clear final handoff is more useful than a long contact log with no named next action.
